Redrawing the Map: How BCM One Helps You Visualize Your Sites and Access Your Plans

Prepare For the Worst with the Best in the Business

Experience capable, consistent, and easy-to-use business continuity management software.

The best recovery plan in the world won’t do you any good if you can’t find it when you need it. The problem of lost plans resulting in delayed or chaotic recoveries is more common than you might think. It’s also the reason we developed BCM One, the facility mapping and plan-storage module of the BCMMetrics tool suite.

When Your Business Continuity Plans Go MIA

Imagine your town invested in a top-of-the-line fire engine, then stored it in an out-of-the-way garage, forgot the location, and lost the key to the garage door. That beautiful engine wouldn’t do you much good if a fire broke out.

It’s an absurd scenario, but something similar happens quite often with organizations’ business continuity (BC) plans. We even see it with our own consulting clients. A client will hire us to help them develop a solid BC program. We write the plans, get everything approved, and tie it all up in a bow. Then six months later, we get an anxious call: “We can’t find our plans. Do you guys know where they are?”

This is stressful enough when the occasion is routine. If it occurred during a disruption, the impact could be severe.

We’ve seen it over and over: continuity documentation gets buried in a maze of drive folders, scattered across desktops, or forgotten in someone’s inbox. And when an event hits, panic ensues. The lack of an accessible, centralized system isn’t just inconvenient. It’s potentially disastrous.

Making it easier to avoid this scenario is why we created BCM One.

A Visual, Centralized Solution: Meet BCM One

BCM One is the capstone module of our BCMMetrics toolset. It serves as the final destination for all the work you’ve done, whether that’s BIAs, risk assessments, recovery plans, or crisis documents.

BCM One is a map-based interface that gives you a visual, real-time view of your physical sites and the business continuity assets associated with them. It makes understanding your sites and accessing the related recovery documents easy, quick, and intuitive.

Need to locate your company’s most critical manufacturing plant in Asia? Want to see what plans are in place for your regional headquarters? BCM One puts this information at your fingertips, visually and instantly.

Whether you’re managing risk, reporting to management, or responding to an event, BCM One helps you do it with greater insight and sure-handedness.

Your Locations, Mapped and Ranked to Protect Your Business

One of BCM One’s most powerful features is its ability to map your global operations. You can add all your business locations—domestic and international—and instantly visualize them on an interactive world map.

But this is more than just pins on a map. Each location can be color-coded by importance—red for critical, yellow for moderate, green for low—so you can prioritize at a glance. You can also filter the map by country, state, city, facility type (e.g., corporate, manufacturing, distribution), or importance level.

Click on a location and you’ll access its full profile: its criticality to the business, operational details, building photos, key contacts, and backup capabilities. You get fingertip access to everything you need to understand and manage the risk associated with that site.

The tool’s intuitive layout means users don’t have to dig through folders or guess where to look. They simply find the location and the information is there.

Your Documents, Secure and Centralized

BCM One isn’t just a visualization tool. It’s also your organization’s secure continuity document repository, organized by location.

Every relevant document—business continuity plans, crisis response playbooks, life-safety plans, anything you like—can be uploaded and linked directly to the appropriate site. No more emailing PDFs back and forth. No more wondering which version is the latest. No more losing track of which plan applies to which building.

What makes BCM One even more powerful is its integration with the Planner module in our BCMMetrics suite. When a new plan is developed and approved in Planner, it’s automatically routed to BCM One and associated with the appropriate site(s).

Suppose your organization has five call centers all covered by the same recovery plan. BCM One ensures that plan appears under each relevant location, so it’s visible and instantly accessible to those who need it.

This centralized, location-based structure helps ensure no one ever has to mount a frantic search for documents in the heat of an emergency. You’ll always know where to find what you need, whether you’re prepping for a management presentation or facing a crisis.

Incident Management, Simplified

In addition to being a document hub and mapping tool, BCM One also includes a streamlined incident management capability.

The module allows you to log an incident, track its progression, and document the actions taken, from detection through to recovery. You can develop incident action plans, create briefing agendas, and maintain a running record of how your organization responded to a disruption.

The goal here is simplicity. We’ve seen too many companies try to manage incidents with bulky, over-engineered systems—or worse, with spreadsheets and email threads. BCM One keeps things lean, standardized, and easy to use, so your team can focus on managing the situation instead of managing the tool.

BCM One: A Force Multiplier for Small Teams

BCM One can scale up to serve the needs of even the biggest organizations. (We routinely use it in conducting engagements with our Fortune 500 consulting clients.)  However, it’s in small BC offices with limited personnel that the tool often delivers its biggest impact.

In organizations where a single planner or a small team is responsible for keeping the continuity program current, BCM One provides a level of structure and automation that dramatically reduces the manual workload. Instead of fussing with spreadsheets and rummaging through shared drives, teams powered by BCM One can rely on a centralized system that keeps everything organized and accessible.

The visual, map-based interface gives planners immediate insight into the organization’s operational footprint. The color-coding and filtering capability let small teams quickly identify and prioritize what matters most. The ability to drill down into each site and see its key details saves time and eliminates guesswork.

Because it consolidates all continuity documentation into a single repository, BCM One spares users from having to track down lost files or rack their memories. Everything is in one place and easy to find, and the versions linked to are always the most current ones.

Because the tool integrates directly with other BCMMetrics modules (like Planner), document updates flow automatically to the appropriate locations. This saves time, something members of smaller BC teams never have enough of. Admins can also set user roles and permissions to maintain control while empowering others across the organization to access the resources they need.

Training new staff is also easier with BCM One. Its clean, intuitive interface requires minimal onboarding, and because everything is organized visually by location, even non-specialists can navigate it with confidence.

In short, BCM One allows small teams to do the work of a much larger group. It amplifies capability, minimizes administrative overhead, and streamlines access to vital information. For resource-strapped continuity teams, it’s not just helpful—it’s transformational.

Security You Can Rely On

Of course, a tool is only as good as its ability to protect your data. BCM One was built with resiliency and security at its core.

Our infrastructure uses 256-bit Secure Socket Layer (SSL) encryption, firewalls, and stringent access controls to protect your continuity assets. All databases are backed up daily and stored with military-grade AES-256 encryption in multiple offsite locations for disaster recovery purposes.

We also comply with all relevant industry regulations, including HIPAA and PCI DSS, though it’s important to note that we do not gather PHI or similarly sensitive data. What we do protect—your plans, contacts, and documentation—is kept safe, available, and recoverable.

See Your Program Clearly, Respond with Confidence With BCM One

Too many organizations invest time and resources into building strong continuity plans only to lose track of them shortly after they’re completed. But plans that no one can find, because they’re buried in shared drives or scattered across inboxes, can’t help you in a crisis no matter how good they are.

BCM One solves this problem by giving you a clear, centralized view of your program. It maps your sites, links them to the right plans, and makes everything accessible, organized, and easy to update.

If you’re ready to bring order to your BC program and ensure you’re prepared when it counts, we’d love to help. Contact us today to schedule a demo or speak with one of our consultants.
